Position Summary
This position provides customer service and clerical support at the front counter of Faculty Building 1. The position also supports the Division of Creative Arts, Literature, and Communication with collecting, tracking, and monitoring various processes, records and reports. This position reports to the Administrative Assistant for the Dean of Creative Arts, Literature, and Communication (CALC).
Essential Functions
Provide basic clerical support to the faculty in Building F1
Answer inquiries at the front counter, on the telephone, and through department email from prospective students, current students, and other members of the campus community
Perform routine filing, document creation, prepare spreadsheets, run reports, photocopy, fax, scan and proofread documents for classroom use.
Track office supply inventory and prepare supply orders
Oversee collection, organization, and distribution of the quarterly teaching schedules and office hours of F1 faculty.
Track faculty absences, which includes notifying appropriate dean, department chair, and administrative assistant, posting notices to inform students with directions from instructors.
Review faculty photocopy requests and process accordingly (in-house, print shop, etc.)
Screen and distribute incoming mail.
Maintain FERPA standards in all operations, which includes developing office procedures that ensure the confidentiality of student records.
Assist with syllabi tracking and collection
Prepare quarterly textbook adoptions and submit to TCC Bookstore.
Perform other duties including special projects as directed.
Qualifications
Minimum Qualifications
High school diploma or equivalent.
Clerical and/or customer service experience.
Intermediate experience with Microsoft Office applications.
Conditions of Employment
Successfully pass a criminal history background check prior to employment.
Proof of completed COVID-19 Vaccination is required upon hiring and employment at TCC.
Ability to bend, stoop, and squat to file or retrieve files and event items; ability to push, pull, drag, lift and carry boxes and event items up to 40 pounds.
Ability to comfortably handle and file paperwork.
Ability to arrange tables and chairs for meetings.

Terms of Employment
This is a part-time, hourly, temporary position scheduled to work 17 hours per week. Flexibility in scheduling is required to meet the needs of the program. The rate of pay for the position is $17.00 per hour. A collective bargaining agreement exists and membership in the Washington Federation of State Employees or payment of a service fee may be available upon employment.
