In your role as Executive Assistant for Kimberly-Clark North America (KCNA), you’ll help us deliver better care for billions of people around the world.

As the Executive Assistant to the Vice President & General Counsel of KCNA, you will manage access to the executive, maintain and modify the executive schedules, make travel arrangements, assist with word processing and presentations, and create awareness for issues that require immediate attention—providing a broad range of highly skilled and highly confidential administrative support to both the executive and the other four attorneys directly reporting to the executive. As a highly motivated and proactive team player, you will assist with operational and administrative support, including financial administration of various matters for KCNA Legal.

In this role you will join the KCNA Legal team and report to the Vice President & General Counsel of KCNA.

Location: This job operates out of Kimberly-Clark’s offices in Neenah, WI and supports a hybrid model.

Responsibilities:

Perform high-level executive administrative support, including preparation for and management of domestic and international meetings and travel (complying with visa and immunization requirements, etc., and preparing expense reports, itinerary, etc.), calendar and coordination, and word processing.

Serve as primary point of contact with vendors for supplies and equipment and perform operations and financial management duties for purchase orders, budget processes, forecast and accruals.

Prepare and review expenses, reports, spreadsheets, and presentations.

Support IT tasks, i.e., creating and managing shared folders.

Serve as key liaison with Legal Operations on behalf of the KCNA Legal team.

Help onboard new employees, including ordering computers, peripherals, and telecom equipment.

Manage docket and files.

Plan and occasionally attend events, reserving and setting up rooms, planning activities, preparing materials, and other related activities

About You:

To succeed in this role, you will need the following qualifications:

Two years college or equivalent experience; college diploma preferred.

8+ years’ administrative work experience, including VP level or above.

Expertise with Outlook; advanced skills with Windows, Word, Excel, Adobe, PowerPoint, and virtual meeting platforms such as MS Teams, Zoom.

Accurate typing, filing, record keeping, and proofreading; punctuality filing expense reports, arranging domestic and international travel, meetings, catering, and general office duties.

Strong written and oral communication skills, as well as problem-solving, analytical, and organizational skills.

A demonstrated ability to act independently with integrity and the highest ethical standards, organize and prioritize workload, work well under deadline pressures, adapt to change, handle confidential material, and occasionally work overtime.

Proven ability to work collaboratively and interface at all levels within the organization with courtesy and tact.

Maintain a comprehensive understanding of department policies, procedures, and methods of operation.

Previous experience at a law firm or inhouse, with SAP/Concur, Anaqua or other legal matter management systems, preferred.
