Job Description :
Serves as back up support to the full time Office Associate. Primary responsibilities are answering phone calls, directing to appropriate response (e.g. scheduling appointments, crisis response, staff, other campus office) and managing scheduling for clinical staff. First contact by phone, walk in, waiting area to students, guests or other campus partners.
Duties and Responsibilities
1. Provide a welcoming environment for students, professionals and others utilizing the Counseling Center via the telephone or face-to-face.
2. Serve as a first contact and triage for individuals based on a person’s identified need(s).
3. Communicate with students, faculty and staff throughout the University, as well as off campus resources, by responding to various questions and requests for information and service.
4. Schedule appointments, organize meetings and enter data using the confidential Counseling Center database and scheduling program.
5. Answer incoming calls, transfer calls to individual staff members or their voicemails utilizing a multi-line switchboard.
6. Have knowledge of on-line file sharing software, and manage selected files .
7. Scan documents into Titanium to become part of the electronic record.
8. Prioritize and assist with staff requests (copies, publicity, miscellaneous data entry, etc.).
9. Provide backup coverage for the Office Associate when out of the office (i.e. scheduled professional development, vacation, unexpected or scheduled sick time).
10. Maintain department records and other related duties as assigned to help support the department and University.
11. Prepare and/or proof reports, correspondence and other documents using application software including Microsoft Word, Excel, and Power Point (as needed)
12. Prepare outreach materials, develop PR opportunities, coordinate supplies for the event, brainstorm giveaways for students, assist staff facilitating the event
13. Clinical file maintenance.
14. Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities
High School education
Two years related experience required.
Must possess excellent customer service skills, flexibility, prioritization and organizational skills.
Ability to organize and maintain manual and electronic filing systems.
Intermediate knowledge of Microsoft Word, Excel, Outlook and calendar systems.
Ability to access created networked files.
Ability to maintain confidentiality.
Preferred Knowledge, Skills and Abilities
Three to five years of administrative assistant or customer service work preferred.
