Position Summary:
The Marketing Communications Coordinator plays an integral role in the effectiveness of Marketing Communications by providing communications-specific support as well as general administrative duties. This individual works closely with the Director of Marketing Communications and the MarketingCommunications Team to implement and ensure the seamless integration and implementation of marketing communications strategies that accomplish the mission and strategic objectives of the Community Foundation.
Essential Duties & Responsibilities:
Position Functions:

Content Creation

− Write clear, compelling copy for various mediums to support Community Foundation’s marketing and communications strategies (e.g. newsletters, website, info sheets, etc).− Provide support in coordinating and implementing the production and timely distribution ofCommunity Foundation’s communications materials (e.g. Annual Report, newsletters, email blasts, etc). Duties may include writing, proofreading, working with vendors/consultants, etc.− Provide support in implementing and evaluating the Community Foundation’s marketing communications strategy and ensuring tone/voice are consistent with the organization’s brand.

Special Events & Meeting Spaces

− Provides event coordination support for special events such as, but not limited to, the CommunityMeeting as well as Community Investment and Donor Relations special events.− Manages requests and communications for external meeting space use at the Community Foundation.− Assists in developing creative marketing tactics to engage external audiences who reserve meeting spaces at the Community Foundation.

Sponsorships

− Prepares materials for Marketing Officer and Sponsorship Committee to review sponsorships requests in a timely manner.− Serves as communications lead for Sponsorship Committee to internal and external stakeholders which includes informing stakeholders (e.g. staff Yammer channel and organization’s requesting sponsorship) of Sponsorship Committee decisions and fulfillment of approved sponsorship requests.

Website & Digital Signage

− Update content on Community Foundation’s websites, ensuring it is accurate and complements other communications strategies.

Update and ensure Community Foundation’s digital signage in office lobby area and overall signage experience for external stakeholders is up-to-date and consistent with organization’s brand.

Technical/Administrative Support

− Provides administrative support to MC Team Officers and Director, which includes but not limited to scheduling, vendor invoice processing, compiling quarterly and weekly analytics report, staff headshot coordination, proofreading content drafts, creating surveys, budget preparation, and technical support for productivity and collaboration applications (i.e. Zoom, Traction Tools, etc)− Orders approved Community Foundation promotional items for distribution to external stakeholders as requested.

Performs special projects as directed by the Director, Marketing Communications.
Serves as member of the Reception Team, provides coverage for front desk during lunches and vacations.

Knowledge, Skills & Abilities:
Required:

Bachelor’s degree in communications, marketing, event management or related field, or an equivalent combination of training and relevant work experience.
Experience relating to diverse groups of people and professionals in a variety of fields, such as not- for-profit.
Be able to communicate clearly and effectively, both verbally and in writing.
Strong time-management and organizational skills.
Proven professional with 2 or more years of experience in the following areas:

− Administrative support− Corporate communications− Journalism− Marketing

Ability to bring focus and clarity to issues and identify accompanying solutions
Complex problem-solving abilities
Knowledge/understanding of computers including general business software such as Microsoft Office Suite.

Preferred:

Some knowledge of Canva or similar graphic design software.
Some knowledge of project management software such as Basecamp, Asana, etc.
Portfolio of applicable communications work from current or past employment (i.e. press releases, social media posts, articles, etc)

Location Requirements:

The Kalamazoo Community Foundation’s employee health and safety is a top priority. With the COVID-19 pandemic still a consideration to public health, Foundation employees may work remote or hybrid schedules with approval from their supervisor. Please note the remote work policy is in effect due to the COVID-19 pandemic and will be reviewed when public health guidelines or business needs change.

Physical/Mental Requirements:

While working virtually, must ensure remote environment has consistent access to high-speed internet, generally free from distractions.
Work in well-lit, pleasant, smoke-free office.
Must be able to sit for long periods of time.
Able to stoop, bend and move intermittently to do filing and move equipment and supplies necessary for job function.
Involves frequent repetitive movement associated with extended periods of keyboarding.
Frequently involves extended workdays and periodically involves irregular work hours.
Occasional travel and/or overnight work schedules.
Requires attention to detail and ability to concentrate on figures, paperwork, data, etc.
Frequent pressures related to meeting deadlines and fulfilling scheduling requirements.
Frequent distracting influences such as people, phone calls, noise and so forth.
Frequent simultaneous handling of multiple tasks and intermittent or cyclical work pressures.
Occasionally requires on-call availability to handle work problems, emergencies/crisis situations etc.
Occasional work at multiple sites or travel.
